What is needed to process your transcript?
Your signature is required by Federal Law before releasing your transcript. State law prohibits release of a transcript if you owe SUNY Cortland money. Payment must accompany each transcript request. The fee is $5.00 per transcript. You must provide complete information as necessary.
Why is your signature required?
To protect the confidentiality of your transcript. Not even a parent may receive your transcript without your signed release. That is why no phone, E-Mail, or third party requests can be accepted.
How much does it cost?
The cost is $5.00 for each official transcript mailed within 3-4 business days. Incorrect payments and requests are returned for correction.

Request by fax (607) 753-2959 or by mail?
Please complete the online Transcript Request Form. You may then fax or mail the form to the address/fax information on the form. Please be sure to complete the information below on the printed form.

Normal turn-around time is 3-4 days from the date of receipt.
Request in person?
Fill out the Request Form at the Registrar's service counter, Room 223 Miller Building. Pay in cash, check, credit card or money order. $5.00 for an official transcript mailed within 3-4 days. Someone else may pick up your transcript if they present signed authorization and your signed request.
Requests by phone?
Phone requests are not a valid means for requesting a transcript. It must be in writing and contain the requestor's signature.
Transcript by fax?
A faxed transcript, which costs $10.00 to fax, is unacceptable to most third parties because it is not an official transcript once faxed. It is important to note that a faxed transcript will be difficult to read (almost illegible) due to the “secure paper” all official transcripts are printed on.
Transcript by Overnight Mail?
Federal Express - You must provide either:
- Federal Express account number, or
- a check made payable to Federal Express for the correct charges (contact Federal Express for rates), or
- credit card number, expiration date and signature authorizing charges.
Be aware that Federal Express does not send overnight to a P.O. Box address.
Federal Family Rights and Privacy Act of 1974 (Buckley Amendment)
The release of a student's grades or transcript requires the student's written authorization unless otherwise allowed by law. The law allows transcripts of dependent children to be released to their parent(s) or guardian(s) upon their written declaration of dependency request (independence is verified via Financial Aid documents and age of the student), the Secretary of Health, Education and Welfare (or representative), the Secretary of Veteran's Affairs (or representative). In accordance with this policy SUNY Cortland also releases official transcripts to students upon their signed request.
State law prohibits the release of transcripts if money is owed
Pursuant to the Student Debt Obligation/Bankruptcy and Statute of Limitations (Section 302.1(j) Title B, Official Compilation of Codes, Rules and Regulations of the State of New York and issued by Counsel on December 20, 1977: Students with outstanding obligations to the College are denied transcript service, readmission and grades. If a student is on the College Stop List, the request and payment will be returned to the student. The transcript(s) will not be forwarded until the obligation is satisfied and the form with correct transcript fee is received by the Registrar.
