SUNY Cortland E-mail Server Use Policy
- To create a Cortland e-mail account, faculty and staff must have a valid Cortland ID number, complete and sign an account request form http://acs.cortland.edu/acs.email.html, and submit it to the Technology Help Center.
- Student e-mail accounts are created based on downloaded Banner data; students activate their account using their Cortland ID number and date of birth. Initial password is set by the student.
- E-mail accounts will be de-activitated when faculty and staff resign from SUNY Cortland.
- Faculty and staff who retire may retain their e-mail accounts. Retirees will not be allotted web or other storage space on the server.
- E-mail storage limits for faculty/staff: 50 MB warning; 60 MB cut off.
- E-mail storage for students: 20 MB warning; 25 MB final warning; 30 MB cutoff.
- Sent items with attachments over 30 MB are automatically deleted.
- All sent items in student accounts are deleted after 180 days.
- Individual Web sites are limited to 45 MB.
- Deleted items with any attachments over 25 MB and those older than 180 days are automatically deleted.
- Official e-mail address for faculty/staff: username@cortland.edu.
- Official e-mail address for students: first 6 letters of last name and last two digits of Cortland ID #@cortland.edu.
- All users are automatically placed on distribution lists. Every user has the ability to unsubscribe from special interest distribution lists using the List Management Web Page, http://webmail.cortland.edu/listmanage/.
- All faculty, staff and students are required to have a SUNY Cortland Exchange e-mail account.
- To assure network security and efficiency, potentially harmful e-mail messages will be intercepted and held in a retrievable "electronic quarantine."
- At the discretion of campus authorities any off campus entity that sends unsolicited e-mail to members of the campus community will automatically have their electronic account and/or address blocked for further submissions.
- Faculty may send to their class lists by using Banner Web.
- Faculty using WebCT should use that system for discussion lists.
- Electronic security requires that users change their password at least twice a year.
